Relationship To Strategic Plan:
Desirable Place to Live, Work and Recreate
Executive Summary:
This proposal recommends changing the current FACT Committee meeting schedule from monthly to bi-monthly (every two months). The goal is to improve the effectiveness of the committee’s time, ensure more focused discussions and better align meeting frequency with the pace of ongoing projects and initiatives. Many ongoing projects and initiatives do not require monthly updates and bi-monthly meetings will provide a more appropriate rhythm for strategic discussion and decision making.
Background:
The FACT Committee has continuously assessed its meeting schedule to ensure it operates effectively, efficiently, and in alignment with the organization’s goals. Currently, meetings are held on a regular monthly basis, but several factors have prompted the committee to reconsider the frequency of their meetings. After careful review, the committee has decided to transition to a meeting schedule of every other month.
The Committee has noted that many FAST initiatives and projects progress at a slower pace, with significant updates and decisions only arising every few months. Monthly meetings often resulted in less substantial agenda items, leading to short meetings, or extended discussions that could have been covered in fewer, more focused meetings. The transition to bi-monthly meetings will allow the committee to focus on larger more strategic discussions during each meeting, as opposed to routine updates that could be more easily communicated outside of formal meetings. This will allow for more productive use of time, with discussion centered on critical, long-term goals.
Within the past year FACT has struggled to consistently reach a quorum. By shifting to a bi-monthly meeting schedule, the committee anticipates improved attendance, as members will have more time to prepare and engage meaningfully in each meeting. This change is also expected to increase overall satisfaction and participation from committee members.
